What a capability statement must communicate - Blueprint Breached

A capability statement is often described as a company résumé, but the best versions are more selective. Its job is to help a particular buyer understand what you do, why you are credible and whether the conversation should continue.

Lead with core capabilities

Use specific services and outcomes rather than broad adjectives. “Emergency HVAC repair across Southwestern Ontario” communicates more than “innovative facilities solutions.” Match terminology to the market while preserving accuracy.

Add proof, not decoration

Past performance should identify the customer type, challenge, work performed and measurable result where disclosure is permitted. Do not publish confidential information or imply government experience you do not have. Relevant commercial work can still demonstrate delivery capability.

Explain meaningful differentiators

Being dedicated, professional or customer-focused is expected. A differentiator might be a response-time system, specialized certification, geographic reach, proprietary workflow, hard-to-source inventory or documented quality control. State why it reduces buyer risk.

Make identifiers easy to find

Where applicable, present legal business name, contact information, UEI, CAGE code, socioeconomic certifications and relevant NAICS codes. Verify every identifier before distribution. Requirements differ by opportunity and can change.

Design for scanning

Use descriptive headings, short paragraphs, adequate contrast and one clear reading order. A one-page format is common because it forces prioritization, but clarity matters more than squeezing every fact into a decorative layout.

Create versions for different buyers

One generic statement can become vague. Maintain a trusted master document, then create targeted versions for major service lines or agencies. Change emphasis, not facts.

Connect the document to a next step

Include a named contact, professional email, phone number and useful website page. The buyer should not need to search for the action you want them to take.

Review it as evidence

Ask an outsider to read the statement for 30 seconds, then explain what you sell, to whom and why you are credible. Their confusion identifies the next revision.
